The Trucking Compliance Calendar: Every Deadline in One Place

A single reference for every recurring trucking compliance deadline — IFTA quarters, IRP renewal, UCR season, Form 2290, MCS-150 biennial updates and estimated taxes.

Compliance deadlines in trucking come from at least five different agencies, on five different cycles, none of which coordinate with each other. There is no single notice that tells you what is due. Missing one is rarely carelessness — it is that nothing joined them up.

This is that reference. Print it, pin it, or copy the dates into a calendar that will still exist next year.

Quarterly: IFTA

Four returns a year, due the last day of the month after each quarter closes.

  • Q1 (Jan–Mar) → April 30
  • Q2 (Apr–Jun) → July 31
  • Q3 (Jul–Sep) → October 31
  • Q4 (Oct–Dec) → January 31

Late filing triggers penalty plus interest per jurisdiction. Repeated lateness can suspend your licence — at which point running without valid decals becomes an out-of-service violation.

Quarterly: estimated taxes

Self-employment income has no withholding, so you pay in four instalments. Roughly April, June, September and the following January, with exact dates shifting slightly year to year.

Illinois runs its own schedule for state income tax. Budgeting only for federal leaves a gap.

Underpaying triggers a penalty even if you settle in full at filing. The usual cause is estimates left at last year's level through a better year.

Annually: Form 2290

Tax period runs July 1 to June 30, not the calendar year.

  • Vehicles in service at the start of the period → return generally due August 31
  • Vehicles first used later → due the last day of the month following first use, tax prorated

The output that matters is the stamped Schedule 1. You cannot register or renew apportioned plates without it, which makes 2290 a prerequisite for IRP rather than a parallel task.

Annually: IRP renewal

Your account renews on its own annual cycle. Two things determine whether it goes smoothly:

Mileage records. Fees are apportioned by distance driven per jurisdiction during a reporting period that closed months earlier. If those records are incomplete, you cannot reconstruct them accurately now.

Prerequisites. Stamped Schedule 1 and current insurance must both be in place first.

File early. Processing slows markedly as renewal season peaks, and filing at the deadline removes any room to fix a problem.

Annually: IFTA licence and decals

Separate from your quarterly returns. The licence renews annually and comes with decals that must be displayed.

A current licence with last year's decals on the door is still a violation.

Annually: UCR

Registration for the coming year typically opens in autumn and must be complete before enforcement begins in January. There is no grace period.

Your fee bracket comes from the vehicle count on your most recent MCS-150 — so verify that record before registering.

Nothing about UCR generates a reminder: no decal, no credential, no quarterly rhythm. It is the single easiest requirement to forget.

Every two years: MCS-150

Due in a month determined by your USDOT number:

  • Last digit → the month (1 = January … 9 = September, 0 = October)
  • Next-to-last digit → odd means odd-numbered years, even means even-numbered years

Required even if nothing changed. Missing it can deactivate your USDOT number, which stops your operation and is visible to every broker who checks.

Continuous: insurance filings

Not a date, but it belongs on any compliance calendar because it causes more suspended authority than any scheduled filing.

The failure is always the same: you change insurers or renew a policy, the old filing is withdrawn, and the new one never goes in. Your authority lapses and you learn about it at an inspection.

Every time your insurance changes, confirm in writing with your agent that the filing was submitted. A certificate sent to you is not a filing.

Building a calendar that works

Enter everything at once. Sit down one afternoon and put all of it into a recurring calendar — including the two-year MCS-150, which no working memory survives.

Set reminders two weeks out. Not on the day. You need lead time to find a missing document or chase an insurance filing.

Cluster related items. UCR and MCS-150 pair naturally, since the vehicle count links them. 2290 and IRP pair by necessity.

Reconcile IFTA monthly. Three small reviews beat one large one, and errors surface while the trip is still recent.

Verify your FMCSA record annually. Two minutes to confirm your address and vehicle count are current — and how you catch a wrong address before it costs you a notice you never received.

The short version

Four IFTA returns, four estimated tax payments, one 2290, one IRP renewal, one IFTA licence, one UCR registration, one annual report, one tax return, and an MCS-150 every second year — plus insurance filings verified at every change.
